Teaching Support - Workflow Further Enhancements - Part 3

  • #RT93430 I've had a couple of the academics comment/complain that this year they have had quite a lot of applicants apply for roles that were not eligible for (i.e. role was for a UG3, but lots of UG2's applied. The role required specific passes in certain courses, but applicants didn't have the requirement). I know not much can be done on the course pass/fail side of things, however is there a way of using the information pulled from EUCLID to prohibit workers to apply for roles they are not eligible for (i.e. if the role was for UG3, UG4, UG5,PGT,PGR prevent the UG2's from applying)? Some of the academics have said that they spent an awful lot of time sifting through applications that were irrelevant and that this was not an effective use of their time. If we capture the specific courses required for roles we can automatically exclude applicants that did not take or did not pass (or pass with sufficiently high enough grade) those courses (I know at least one academic that did this manually and would like to automate it). We can also exclude automatically based on year.
  • #RT88299 We would like to have the T4 student's visa end dates to appear on the Student panel, and if possible the Applicant panel. This information already exists on Theon and can be found on the TP257 report.
  • #RT88299 Could we get a report sent to us of students who have 3 months left on their visas. I think a similar email is already being sent but doesn't take payroll timing in to account.
  • #RT88299 Vicky was also wondering if the notes box could be expanded as it does in the bids panel as some of our notes take a few more character than Theon allows. If we can't expand the box, can we increase the character constraints?
  • #RT88299 Could we also at some point meet up to discuss timesheet reports? It would be good to have an automated email sent to course lecturers with a list of people who have applied for their course roles. We could maybe have an email that is sent out once a new name has been added to the applicant list? They would get no emails if no one had applied.
  • #RT88299 We would also like to introduce time constraints for roles (when certain roles for courses are expected to start and end) to stop workers for claiming hours before the work has been done (marking for example). Happy to discuss this with you.
  • A feed issue - we failed to put any timestamping on the CV data, so on 1st Aug all the CV's submitted in 17/18 were re-submitted again for 18/19! We want to show some of the previous session data (skills/knowledge principally) on the CV form where it exists as default values for the application form and allow it to be amended and then form part of the submission for the current session, we don't want to simply copy the previous session into the current session.
