Private scanning to samba or email (not pubscans)

Users can set up Address book entries for scanning to email/fax from the console of the MFDs however scanning to samba needs to be set up by support. Using the web interface is easier if you want to set up One-touch buttons and just for ease of editing.

Registering Addresses on the MFD web interface

You can see the management interfaces for printers by running a browser on infcups and going to the printer's web address e.g. http://if536c0.inf.ed.ac.uk/

Click on Address and then Address Book One-touch at the bottom of the page. You can then edit individual entries and setup scanning to email or samba folders.

Setup for scanning to email

Click on an Unregistered address entry. Change the Type to email, if it isn't already. Enter the name, a label for the One-touch button and the email address. Leave the Divided Data Destination box clear. (Need to check mail clients ability to reassemble multi-part scans for this). Then hit OK.

MFD Email settings

There are a couple of settings you need to check/set if you want the scan to email to work. The following assumes you are connected to the MFD via its web interface (see above):

  • First go to the custom settings page by selecting, from the left menu, Add. Func. -> Custom Settings
  • On the right of the web page in the Send and Receiving Settings section click on Email/IFax settings
  • Change:
    • Max Data Size of Sending to 7MB.
    • Default Subject to Scanned image from <printername>, replacing printer name with the name of the printer.
  • Then click OK to return to the Custom Settings page.
  • Now click on the Email/IFax settings in the Network Settings section.
  • Change:
    • SMTP Server to 129.215.93.24 (which is the IP address if infcups.inf) eventually this should be smtp.inf.ed.ac.uk, but that's not working right now
    • E-Mail Address to mfd-noreply@inf.ed.ac.uk

Setup for scanning to private samba shares

For samba folders edit an unregistered address - changing the option Type to file and the protocol to Windows (SMB); the hostname goes in without any slashes and the folder name is scans. The user will need to enter their samba password, which will probably be more convenient on the MFD console. Then hit OK.

Assuming you entered the user via the web interface. Hit the Send button and then press the Reg button. Select the One Touch option, choose the appropriate button, then select Register/Edit. Touch Password and you get a keyboard to type in the password. Then - OK - and Done.

Setting up a samba folder on the print server

On infcups (currently astrotype) add a directory for the user in /scans

cd /scans
mkdir NEWUSER
chmod 700 NEWUSER

add an entry in the /etc/samba/smbpasswd file (copying any existing password from the admin smb server)

Or on the server do - "smbpasswd -a username" and enter a new password.

Access to the share is available at \\get.scans.inf.ed.ac.uk\scans

you don't need to put the username directory at the end, it gets added when you login with username and samba password.

Instructions for mounting private samba shares on various OSes are similar to those for mounting pubscans found here, https://www.inf.ed.ac.uk/systems/support/scanning.html just change pubscans to scans and enter a username and password.
