Final Project Report For Project 165 - Improved Room Booking / Event Management System


The purpose of this project was to

  1. produce a specification for a new Event management system to support the large number of events being hosted in the Forum
  2. Evaluate whether this requirement could best be met by purchasing a commercial system or adapting open source software (including the option of extending the existing room booking system.

Eventually the project was extended to encompass the procurement of the commercial system, this having been chosen as the preferable option


Three potential systems were identified and the full procurement procedure followed to identify the system to procure. At time of writing however, the selected system has yet to be purchased.

Time taken

Total effort for this project amounted to 47 hours or just over 1.3 FTE weeks.

Lessons Learned

Although the actual effort spent on the project was small. this effort was spread over nine months of real time. Much of this time was spent waiting for feedback from the main customer for the system within the school. This highlights a need to be more proactive in communication with the customer when carrying out projects of this nature

Possible Follow Up Projects

There is a followup project Introduction/Integration of new event management system to manage the actual introduction of the new system into the School. At this time, it is unclear whether this project will be required.
