Enhancements to Room Booking System

Background

Meeting rooms within the Informatics Forum and Appleton Tower are requested by completion of two room booking resources (https://rbs.inf.ed.ac.uk/forum and https://rbs.inf.ed.ac.uk/ito respectively). The original wish had been to purchase replacement software to allow an upgrade of room booking process and documentation. Budgetary constraints mean that this will not be possible. We therefore request a number of small changes to the existing Room Booking System, RBS, too.

Requested Activities

  • set up so that when a user has made a booking an automatic email is triggered back to the same user to provide the details of the booking just made.
  • ability to track history of edits (when, who, what) made to pre-existing bookings
  • change the status of the 'Brief Description' box so that it is mandatory
  • insert a new ‘Contacts’ box (name of bookee, phone and email contacts), also mandator
  • ability to simplify edit proceedure for multiple booked rooms belonging to a single event.
  • addition of the Instrumented Meeting Room to the Labs part of the RBS to allow control of bookings for this popular resource.
